Day 13

Today is the worst day!!! Because I am sick

I went to the work although I was sick because I didn’t want my super visor to mark me absent.

When I arrived everything was ready. For instance computer, phone and office supplies. Truly, I was glad. Furthermore, Mr. Dawood taught me how to use their statistic system which is called Q-win to find the transaction daily time and waiting daily time for the customers from the date 15-02-09 to 21-02-09. I like this software because it’s helped me in developing my analyzing skill. More than that, I applied what I have learn from the college because last year l studied a statistic course and that helped me in my task. After that I copied all the numbers from the software and enter them in excel with adding some calculations.

Day 12

I sat with Mr. Dawood (senior member services) at the beginning he repeated all the information that Mr. Samir provided me yesterday. Then I helped him in making certificates of region and he explained me the purpose of this certificate which is to enable the company to export and import the goods to the other countries. Actually, it’s like a passport that they can’t transfer their goods without it. I fell that if I stayed more weeks this department that will help me in growing and increasing my knowledge about the global business.

Currently Dubai Chamber is studying to increase all the fees of their services so I was watching what he was doing and assessing him in calculations like the expected revenue and expected increases. I was wondering why he is not using the excel sheet!! I think it’s easier than using the calculator!! But he said that it easy for those who know how to use excel but since I don’t know how to use it I think it’s difficult.

At the end of my work day at 2:00 pm I went to the director Mr. Mahdi and I asked him if there is any available computer for me to use in order to do some practical works instead of watching around only and he agreed to provide me with what I need. Besides, he was glad because I asked him that. Additionally, He felt that I really want to learn and work.

Before I return to the HR department according to the plan I want to deal with customers to improve my communication skills, I will suggest that to the manager.

Day 11

Today morning before I go to the new department I was very glad and excited because I will work in another department and I will learn other things that are completely different than HR.
I met with the director Mr. Mahdi he gave me some information about their department operations. Honestly, at the beginning I didn’t understand anything he was talking about membership, trade license, Free Zones….etc. and I realized that my general knowledge about these things is weak and I didn’t ask him many questions because he had a meeting so I didn’t want to bother him. However, he told me if I need any help I can contact him immediately, he was very kind and I noticed that his office door is open all the time for his employees.

The one thing that I didn’t like or made me not comfort is that I don’t have my own desk. I sat with Mr. Samer and he shared me his desk. Actually, he was the suitable person to sit with him because he is experienced that he worked in Dubai Chamber for 14 years. He explained all the operations in the department. In fact, he was very patient that he explained everything step by step.

In this department you will find daily operations include:
1.Issuing certificates of origin.
2.Registration of members
3.Certifying commercial documents.
4.Receiving business delegations
5.Serving business groups.

There is another service that they provide people which are information about the UAE, investment opportunities in Dubai and free zones, exhibitions, and other information about tourism, economy, trade and others. So the employees should be professionals and up date them self with latest news in order to serve the people better.

The information services include:
1. Publications of the Chamber.
2. General information on setting up businesses in Dubai.
3. Company profiles.
4. List of newly-registered companies.
5. List of companies by nationality.
6. List of companies by legal status.
7. List of companies by size.
8. List of companies by employees.
9. List of exhibitions in Dubai.
10. Commercial laws and companies’ regulations.
11. General information about Dubai

They didn’t give me today any task to do but I hope they will do that by tomorrow.

Day 10

In the morning I called one of the training companies as Ms. Asma requested to ask them about their currently courses that they are conducting. In addition, Ms.Asma liked one of their training since it designed for senior professionals who are in charge for making decisions & strategy across their business; we got the HR director’s approval. After that I used their website for the registration and I will be responsible to contact them again.

As everyday I continued scanning, photocopying and reading emails, it became a routine. Beside, Idiscovered that in the HR department they don’t have a list of all the staff names with their departments!! Which makes their tasks difficult, so I decided to create an excel sheet with all the employees names and their departments. I took all the names from the book addresses from the Outlook and I sent the document to my colleagues.

In addition, I helped Mr. Majed in the IDP programme (individual development plan). The purpose of this programme is to enable the HR department to book necessary trainings with training providers for all the employees in Dubai Chamber. We sent a document for all the staff in order to identify their weakness and strengths by completing the required information. And we will present a small session to explain the IDP programme for the employees who are unable to think of specific method or training to address their development area.

Day 9

I started my day by checking my email.
Then I went to the meeting room with my notes as Mrs. Maha told me to attend the HR department meeting. Before the meeting starts Ms. Azaa (the HR director) said: “Hamdah your are now part of the team not just a trainee so do your best”. I was happy to hear this comment from the director which really inspired me to work. In addition, during the meeting each member gave us their tasks updates, issues and their accomplishments. However, Ms. Asma and Mr. Majed didn’t attend the meeting since they had another meeting outside. During the meeting the director asked the attendees about the progress of Ms. Asma’s task they didn’t answer her because they don’t know where she has reached in her progress. To be honest I was shocked because they have to be a team knowing the status of each member in order to succeed. Prior to the end of the meeting Ms. Azaa asked me if I have any recommendations, I told her it would add a value to the team if each employee makes a use of the outlook calendar. Since it will allow more facilitation among employees allowing them to know the status and general schedule of their colleagues. Furthermore, she requested me to do a presentation in my last day of the work placement about my experience and learning.


Tasks that I done today are:

Filing.
Creating various Excel Sheets, which has enhanced my skills in it. Besides, I increased my knowledge about Microsoft Office Excel 2007.
Scanning. Today I had a huge load of folders to scan!! I started hating this task as the other employees in my department. In fact, I have to scan all the papers in order to enter in the HR system because the manager wants everything to be electronically. Truly, it is uninteresting task.
Calling to either delay or cancel Ms. Asma's meetings to 3:00 pm according to her phone conversation with me this morning. Since she was trapped in the traffic and had no clue of how long it may take.


The time went very quickly today because I was so busy the whole day without break. Giving me the feeling of self satisfaction since I contributed towards my team’s objectives.

Day 5

I attended building evacuation awareness from 9 am to 12 pm. The purpose of this awareness is to help the employees to recognize potential risks while working in office. I gathered much useful information. For example, how to use the fire extinguisher, I knew all the fire exits in the building and the building evacuation procedures. They opened an email account for me to help me in my works. In my department there was a small birthday celebration for one of my colleague and I observed the strong relationship between them and they are satisfied with the management style of their manager which will lead them for a better performance.

Day 4

In this day my supervisor Ms. Asma was absent and really it was boring because no works to do but I went to my colleague Ms. Fatima and I asked her to give me some of her task and I made a form for the gift declaration for the employees to use it when they receive gifts from the customer and they don’t take the gifts before the approval from the HR.Ms Fatima liked the form but she edited some points. Besides, I couldn’t scan the employee’s documents because there was an error in the scanner so I called the IT department to fix the problem

Day 3

I started my day by calling the students who didn’t pick up the phone yesterday and I finished this task. Besides, there were some interviews for the candidates and my supervisor asked me to attend the interviews. In fact. it was interesting since I contributed by asking some question, it was new experience for me but I think I need to work on that since I am HR student and I didn’t have any training or course about conducting an interview. Furthermore, I sat with Mrs. Rafea recruitment senior executive and she gave me an overview of her responsibility like making job analysis, job description and job advertisement. I already knew how to do these things before from the college.

Day 2

I started working in this day. They taught me how to use the HR system Jupiter and I scanned a lot of employee’s documents to be fixed in the system such as employment documents, leaves, excuses, salary certificate, performance and end of service.

Moreover, the manager asked me to arrange a meeting with the sponsored students. I selected the day referring to his timing show and I called the sponsored students. However some of them didn’t pick up the phone and some of them excused since they are working in the morning and the time wasn’t suitable for them and to solve this problem I suggested the manger to make the meeting for two days and he agreed.

Day 1

My first day of the work placement went well. I met my supervisor Ms. Asma and I received a thorough orientation to my responsibilities and the organization for which I will be working. She explained their rules. For instance, using the telephone only for the work no personal calls, office dress code, and confidentiality.

in addition.She provided me with the initial information and tools that I need such as computer, office supplies and phone. I meet all the staff in my department and they gave me a brief overview of their responsibilities. Actually, they all were friendly.

I went with my supervisor and her manager Mr. Majed to Rashed Hospital to attend a meeting their about scholarship provided by Dubai Chamber for the UAE nationals who work in the Government sectors. And as I observed it was informal meeting that it took a long time almost 1 hour because they talked about many things that are not related to the subject.

Day 8

I started my day by reading emails since Ms. Asma had training outside Dubai chamber and I had nothing to do. Actually, it was a slow day and I spent my time watching around. All of a sudden I saw a small argument between the employees from the HR department e and Finance department because of the meeting room!!!

In the floor where I am working on there are three departments and only one meeting room and as I noticed when they want to conduct a meeting they don’t book the room before which leads to some problems. I think it will be better if they plan to book before.

Besides, in my opinion there should be mini forum rooms to hold short meetings or discussion between 2-4 employees regarding projects this is also want to disturb the other collogues who are trying to focus on their work especially he/she is on critical time meeting the deadlines.
Furthermore, because everyone at the department hates the idea of scanning! They just took the advantage of me and stuffed me with the last 2 months files and asked me to scan! I got so frustrated, but of course to leave a good impression I had to accept after all they are going to assess and appraise me accordingly.

Day 7

I arrived to the office a little bit earlier today, and started to greet the fellow staff by morning greeting.

My Supervisor Ms. Asma had a meeting in another department with one of higher managers. In the same Department three other staff had training today and were attending it some other location. So I was alone in the office with two other staff Mrs. Sana (payroll & administration executive) and Mrs. Rafeaa (recruitment executive) who gave me some tasks of daily office work such as updating the employees’ records and filing a lot of papers.

Ms. Rafeaa gave me a good idea how to use Oracle Software which is one of the HR systems since she wanted me to work on it but suddenly she realized that the application is not installed on the pc which I’m working on so she just gave me some details about it in her machine and I didn’t get time to work on it because I don’t have the software. In addition. I asked Mrs. Sana to assist her in figures of salaries of this month or in the payroll system but she was very concerned about the numbers
and was afraid that I might make mistakes in figures which can be very bad for her and the department.

At the last hour of the working day, I talked with Ms. Asma , and we several a discussion about my plan. I suggested that we change the plan in a way that I spend each week of my work placement period in different departments in order to gain more experience and to get exposed to the other work environments of the each section.

Day 6

I started my day disappointed because when I arrived to the work I discovered that there is an error in the computer so I called one of the employees in the IT department to come and fix the error. However, he was too late so I didn’t get any tasks to do at that time. Moreover, I went with Mr. Majed (resourcing & development manager) around all the departments and employees and got brief information about their departments operation and as I noticed that all of them are busy all the time. By the end of the day I understood well the company’s operations and practices. In addition, they want me to contribute with them in the UAE Career Fair 2009 and they showed me their plan and the procedures for that. My supervisor Ms. Asma was very busy today because she had several meetings so I went to Ms. Fatima (employee relations executive) to help her and she gave me many employees’ documents to scan them but again the scanner wasn’t working!!! Again I felt frustration because I want to do the task and I know that the IT department is very busy and they would not come immediately. Besides my colleagues were very helpful and friendly since they tried to fix the problem and that made me feel more comfortable.

I met My mentor Mr. Tridib at 1:00 pm at my work placement and we discussed the work experience issues and the assessment. To be honest I like the college life more than the work placement…really I missed DWC.
